POLICY STATEMENT
UNIVERSITY OF PORTLAND ARCHIVES

Presentation

The University of Portland Archives is a repository for documents, publications and photographs of permanent historical value relating to the history of the University as well as an agency serving the needs of University offices. The University Archives is a section of the Clark Library on campus.

Mission

The mission of the University of Portland Archives is to collect, arrange, preserve and service records of enduring historical value created by or received by the University for research or instructional and administrative use. The University Archives is an extension of the spiritual, philosophical and scholarly strengths of the University as a Catholic institution founded by the Congregation of Holy Cross for teaching, faith and service.

Short History

The University Archives was begun in 1966 by the University's president, Father Paul E. Waldschmidt, C.S.C., with the appointment of Brother David Martin, C.S.C., librarian, as archivist. He and his successor from 1983 to 1999, Rev. Barry Hagan, C.S.C., of the History Department, collected documents and photographs from the various University offices, colleges, schools, departments and some individuals as well as copies of many different University publications over the years. Until 1999, the University Archivist reported directly to the Academic Vice President. Beginning with the tenure of Rev. Robert Antonelli, C.S.C., assisted by Mrs. Martha Wachsmuth, from 1999-2012, the University Archives became a part of the University Library. Computers were added, compact shelving and climate control were installed, online database finding aids were compiled, and two digital collections were made available via the library web page. In 2012 Rev. Jeffrey Schneibel, C.S.C., was appointed University Archivist when Antonelli and Wachsmuth retired. Location

The University Archives is located in room 012 in the basement of Shipstad Hall. Researchers and visitors need a photo ID to enter the building and must register with the desk clerk at the main entrance before proceeding to the Archives.

Hours

The University Archives is open Monday through Friday from 8:00 a.m. to 4:00 p.m. and by appointment, except for federal and University holidays. It is always good to telephone 503.943.7116 before coming.

Holdings

The holdings of the University Archives include

  • University publications (e.g., The Beacon, Portland Magazine, The Log)
  • Selected division and department administrative records
  • Photographic collections of University personnel, campus and buildings
  • Some blueprints and architectural drawings
  • Some pamphlets and posters of departments, schools and athletics
  • Public files on many University faculty and staff (i.e., photocopies of previously published matter in the public domain)
  • Graduate theses
  • Undergraduate senior and honors program theses

Use

The holdings of the University Archives are available to UP administrators, students, faculty, staff, alumni and the general public for research under the following conditions:

  • Archival materials may be used only in the Archives.
  • Requests for information received by mail, telephone or electronically will be handled as time permits. Requests from UP administrators, faculty, staff and students have priority.
  • Some records may be restricted by law, by university policy or by request of the donor.
  • Photocopying will be done by the staff; a fee for this service may be requested.
  • Archival records are never to be defaced by any markings whatsoever.
  • Patrons are asked to keep records in the same order in which they are found.
  • The University of Portland Archives is to be credited on all documents and photographs used in publication.
The University reserves the right to close all or any portion of its records to researchers.
